How invoicing and national e-invoicing work
Which invoices Opvelo issues, how EU VAT is applied, and how supplier invoices are collected.
Invoicing is part of Get Paid & Know Your Numbers. Opvelo issues invoices through your invoicing software, so you keep the tool and the numbering your accountant already works with.
Invoices issued automatically
Opvelo issues correct invoices for web, marketplace and in-store orders, without anyone typing them. That includes:
- Advances, for example a deposit on a preorder
- Exchanges
- Credit notes, including the one issued automatically when a return closes
National e-invoicing
Invoices are sent to the national e-invoicing system, and supplier invoices are collected from it.
EU VAT
Cross-border sales are invoiced with the destination country’s VAT under the EU OSS scheme, at official exchange rates. The rate comes from the tax Shopify charged on the order. If it doesn’t match what’s expected for the destination, you’re alerted instead of getting a wrong invoice. Read more in OSS VAT explained.
Supplier invoices
Supplier invoices arrive from national e-invoicing, email, uploads and till receipts. Opvelo reads each one (lines, totals and VAT), files it under the right account and matches it to the payment. Anything unclear is flagged for review.
Alerts, not surprises
Paid but not invoiced, invoiced but not paid, amounts that don’t match: each is raised with the documents attached. Mismatches are flagged for a person, never quietly adjusted.
For your accountant
VAT views, a trial balance and profit & loss are kept up to date as the business runs, plus a clean export for your accountant.
